The Finance Administrator will contribute to the overall efficiency and success of the office by maintaining organized documentation and providing guidance to colleagues.

  • Your responsibilities will include managing financial data, coordinating travel arrangements, reconciling accounts, and ensuring compliance with financial and travel policies.
  • This role requires attention to detail, accuracy in handling numbers and costs, and effective communication with stakeholders.
  • Handle various financial numbers and costs with a strong focus on detail and accuracy.
  • Process travel requests, vouchers, and financial allowances, ensuring that managers receive valid and correct data.
  • Work closely with customers to facilitate required documentation and costs, such as passport and visa information, via email, Skype, or official cable communication.
  • Collaborate with the travel services group and other departments to ensure smooth travel arrangements and the processing of necessary documents.
  • Respond to stakeholder requests professionally and independently, using various communication channels.
  • Create and maintain organized folders and documentation for the office, ensuring efficiency and accessibility.
  • Coordinate with colleagues and customers to facilitate travel arrangements and establish baseline costs based on location and requirements.
  • Assist travelers in understanding travel requirements and financial boundaries, providing guidance and assistance as needed.
  • Draft, proofread, and edit documents for colleagues, including specialized content.
  • Develop and refine standard operating procedures related to the financial aspects of the position, working closely with senior management.
  • Act as a mentor and informal trainer to junior and senior colleagues, fostering a cohesive and dependable team.

Minimum Requirements

  • Experience with budget formulation and justification.
  • Intermediate proficiency in Microsoft Word, Excel, and PowerPoint. Expertise in Excel, including formulas and automation, is required.
  • Proficiency in utilizing Outlook calendar for leave request notification and appointments.
  • Familiarity with SharePoint for tracking trips and costs.
  • Intermittent skill with travel, cable, and voucher systems, as well as contract management systems.
  • Knowledge of financial and travel policies, with the ability to guide and advise others on policy adherence.
  • Strong organizational skills and attention to detail.

Preferred Requirements

  • Familiarity with pivot tables in Excel.
  • Knowledge of Primavera for project management.
  • Experience with contract management systems.
  • Ability to work independently and prioritize tasks effectively.
  • Strong problem-solving skills and the ability to adapt to changing situations.
  • Excellent communication and interpersonal skills.
